Privacy policy & data deletion
Last updated 6 November 2026
1. What information would we collect?
The adult application currently previews data in your browser only. For the separate 14–17 parent-led application, the requested data includes the child’s name, age and city/country; the parent/guardian’s name, email and optional phone; permitted family-safe project categories; consent acknowledgments; and optional adult payment contact/method. No child photographs are collected on the initial parental form. The parent/guardian form is prepared for Netlify Forms submissions when deployed on Netlify with Forms enabled. Do not include identity numbers, banking details, IDs or intimate content.
2. Why do we process the information?
To review an application, assess eligibility for appropriately aged projects and communicate with applicants or parents/guardians. Any adult-only service requires verification that everyone involved is aged 18 or over. Minors are assessed exclusively for ordinary non-sexual commercial, artistic and advertising projects. The organizer must identify the appropriate GDPR Article 6 lawful basis and publish legally required controller information before collecting live applications. A parent checkbox does not itself verify parental authority.
3. How long is information kept?
Intended retention: unsuccessful parental application data should be deleted within 30 days after a decision, unless another lawful period is necessary and disclosed. Live retention schedules and deletion procedures must be implemented and published before activation. Any accepted commercial engagement requires its own retention schedule.
4. Photos, access and sharing
The parent / guardian application does not request a child photo. Any later submission of photos must use an appropriately protected process after verifying the parent or guardian. Photos and videos received for other application processes must remain private and must not be published or shared without a separate appropriate agreement. Children’s images must never be shown in adult listings or adult marketing. The online parental preliminary agreement does not grant publication rights.
5. Your rights
Depending on the legal basis and applicable law, you may request access, rectification, erasure, restriction, portability or object to processing, and withdraw consent when consent is the basis. A parent/guardian should make requests concerning an under-18 candidate where appropriate. Use our Contact Page to request assistance with privacy or deletion. You may also complain to your relevant supervisory authority, including ANSPDCP in Romania.
6. Security, third parties and transfers
For the parent-led submission form, the intended receiving service is Netlify Forms. Its processing, retention, authorized access and possible international data transfers must be assessed and accurately disclosed before launch, with appropriate contracts and safeguards. Do not enable tracking without legally required disclosures and consent.
7. Website hosting and technical information
The website’s hosting provider may process technical information such as IP address, browser information and request logs when you visit. Selected photos may be previewed locally in your browser. The youth application can send its form data to Netlify Forms once form detection is enabled and the site is deployed. The organiser must publish its real identity and specific data-handling information before accepting such submissions.
